Many founders treat taxes as a once-a-year event. But the truth is, by the time you have your books done in March, the opportunities to save cash are mostly gone.

🏁 Phase 1: The "Clean Up" (Q1 2026)
In these first few months, we are wearing two hats: finishing 2025 strong and setting the foundation for 2026.
- Jan 15: The Final 2025 True-Up
- What it is: Q4 2025 Estimated Tax Payment.
- Fresh FP&A Take: Did you have a profitable end to the year? If so, this payment needs to reflect that.
- Action Item: We review this to ensure you don’t get hit with underpayment penalties later. It’s about closing the book on 2025 cleanly.
- Jan 31: Vendor & Team Management
- What it is: Deadline for W-2s (employees) and 1099-NEC (contractors).
- Fresh FP&A Take: This is more than paperwork; it’s about your relationships. Late forms annoy your contractors and employees.
- Action Item: We ensure our clients have their vendor data (W-9s) collected before the holidays, so this week is stress-free.
- Feb 17: Employee Compliance
- What it is: W-4 Exemption reclaim deadline.

🏛️ Phase 2: The "Strategic Filing" Window
This is where the structure of your business (Entity Type) dictates your cash flow.
- March 16: The Founders' Deadline (S-Corps & Partnerships)
- Who: Partnerships, S-Corps, and Multi-Member LLCs.
- Fresh FP&A Take: If you are an S-Corp owner, your business return drives your personal return. This date is critical.
- Pro Tip: We advise clients to file an extension (Form 7004) if the books aren't 100% ready. An extension to file is fine as it buys us time to get the strategy right. Just remember it is not an extension to pay. We still estimate what you owe and send the cash to stop interest from accruing.
- Insight: Deadline to file Form 2553 to switch your business election to S-corporation for 2026.
- April 15: The Main Event (C-Corps & Personal)
- Who: C-Corps, Sole Proprietors, and Individual Returns.
- The CFO Take: This is a major liquidity event. You are likely to pay any remaining 2025 tax bill plus your first estimated payment for 2026. We plan for this cash outflow months in advance, so it doesn't impact your ability to make payroll or buy inventory.

💸 Phase 3: The "Cash Flow Rhythm" (Estimated Taxes)
If your business is profitable (which is the goal!), the IRS expects payment quarterly. We forecast these payments, so they don't feel like "surprises."
- April 15: Q1 2026 Payment
- June 15: Q2 2026 Payment
- Sept 15: Q3 2026 Payment
- Jan 15, 2027: Q4 2026 Payment
